What is the significance of "Victors" in the app name?
The name comes from "Hail to the Victors" — the legendary fight song of the University of Michigan, where our founder proudly earned his stripes. But here's the thing: if you're using VictorsSnap to conquer your expense tracking, you're a Victor too. Yes, even you, Ohio State fans. We believe in equal-opportunity victories... at least when it comes to accounting.
Why is VictorsSnap better than other expense apps?
Most expense apps make you do all the work. VictorsSnap flips the script:
- Snap it, done. Take a photo of your receipt and AI reads the vendor, date, amount, line items, tax, and reference numbers for you. No typing, no squinting at faded ink.
- Smart matching. The AI automatically matches your receipt to the right vendor contact and expense accounts in your accounting system. What used to be a dozen dropdown searches becomes zero.
- Fewer clicks, faster submissions. Other apps make you fill out a form field by field. VictorsSnap pre-fills everything from the receipt scan and AI matching so you just review and submit.
- Multi-provider support. Connect Xero, QuickBooks Online, or both at the same time. Switch between companies in one tap.
What devices does VictorsSnap run on?
VictorsSnap is an iOS app for iPhone and iPad. It requires a recent version of iOS and Face ID, Touch ID, or a device passcode. There is no Android or web version at this time.
Is VictorsSnap free?
VictorsSnap offers a free tier with a monthly receipt allowance, plus paid subscription tiers for higher volume and additional features. You can view the current tiers and prices from Settings → Subscription inside the app, or on the App Store listing.
Security & privacy
How does VictorsSnap keep my data and accounting connections secure?
We take security seriously. Here's how your data is protected:
- Device lock. The app requires Face ID, Touch ID, or your device passcode every time you open it. If you switch away and come back, you'll need to authenticate again.
- Secure token storage. Your Xero and QuickBooks login credentials are never stored in the app. We use industry-standard OAuth to get secure tokens that live in your device's Keychain — the same hardware-encrypted vault that protects Apple Pay and passwords.
- No middleman for your accounting data. VictorsSnap talks directly to Xero, QuickBooks, and our AI receipt scanner. We don't warehouse your accounting records.
- You're in control. You can disconnect any accounting provider at any time from Settings. When you disconnect, the app revokes its access on the provider's side and wipes all local tokens.
- AI receipt scanning. When you scan a receipt, the image is sent to Anthropic's Claude AI for reading and matching. Data sent through the API is not used to train AI models and is not retained after processing. No human at Anthropic reviews your receipts.
- On-device storage. Your receipts and transaction data are stored locally on your device, protected by iOS's built-in file encryption. Nothing is uploaded to a cloud server unless you submit it to your accounting system.
Where are my receipts stored?
Receipt images and their extracted details are stored on your device using Apple's SwiftData framework, which is encrypted at rest by iOS. Submitted receipts are sent to your accounting provider (Xero or QuickBooks) and live in their system from that point on. VictorsSnap does not keep a copy on a server.
Does Claude (the AI) retain my receipts?
No. Receipt images are sent to Anthropic's Claude API for one-time processing. Per Anthropic's commercial API terms, inputs and outputs are not used to train models and are not retained for longer than needed to deliver the response (typically up to 30 days for abuse monitoring). VictorsSnap never sends your OAuth tokens or accounting data to Claude — only the image and a short extraction prompt.
What permissions does the app ask for?
- Camera — to take photos of paper receipts. We only capture the image you shoot; we don't access your camera roll.
- Photo Library (optional) — so you can pick an existing receipt image instead of scanning a new one.
- Location (optional) — only used on the mileage tracking screen to set your starting address. Location is never sent to any server.
- Face ID / Touch ID — to unlock the app.
How do I delete my data?
From Settings → Connections, tap "Disconnect" on each accounting provider — this revokes tokens on the provider side and wipes local credentials. To delete receipts, use the swipe-to-delete gesture on the Receipts list, or delete the app to remove all local data. Receipt scanning & AI
What does the AI read from a receipt?
The AI extracts the vendor name, transaction date, total amount, payment method, currency, a short business-appropriate description, and a reference or invoice number when one is printed. It also categorizes the expense and tries to match the vendor to a contact that already exists in your accounting system.
The year on my receipt was read wrong — what happened?
Dates printed with thermal ink can fade or be partially obscured, and digits like 6 and 0 are easy to confuse. Recent versions of VictorsSnap bias toward the current year (and the previous year if you're scanning in January or February) when the digit is ambiguous. If you still see a bad date, tap the date field in the review screen to correct it before submitting.
Can I scan a PDF receipt or upload from Files?
Yes. From the camera screen, tap the import icon to select a PDF or image from Files or the Photo Library. The first page of a PDF is treated as the receipt. If you import a multi-page PDF and need a specific page, split it first.
Why does the app need an internet connection to scan?
Receipt OCR and matching use a cloud-based AI service (Claude). If you're offline when you snap a receipt, the image is saved locally and you'll see a "Receipt saved, but AI could not analyze it" notice. Open the receipt later when you're online to retry extraction.
Xero & QuickBooks
Can I connect both Xero and QuickBooks?
Yes. You can connect any number of Xero organizations and QuickBooks companies at the same time. Each connection is kept independent; when you scan a receipt, you pick which organization it belongs to before submitting.
How do I switch between organizations?
On the transaction review screen, tap the organization pill at the top. Any additional organizations you've connected will appear in the list.
My Xero / QuickBooks connection expired. What do I do?
Both providers expire refresh tokens periodically (typically after 60–90 days of inactivity). If you see a "Failed to fetch organizations" or "Could not find this organization's connection" error, go to Settings → Connections and tap Reconnect on the affected provider. For QuickBooks, only the Company Admin can reconnect — invited members regain access automatically once the admin signs back in.
Do I need to be a QuickBooks admin to use VictorsSnap?
Only the first user connecting a QBO company has to be the Company Admin — that's an Intuit OAuth requirement, not ours. Once an admin has connected, they can invite teammates by email from the Manage Members screen. Invited members verify with a magic link or 6-digit code and don't need an Intuit account at all. Xero has no such restriction.
How do I invite a teammate to my QuickBooks company?
Open Settings → Connections, tap the QuickBooks company, then Manage Members → Add Member. Enter the teammate's email; they'll receive an invite that expires in 7 days. See the QuickBooks integration page for the full walkthrough.
What does VictorsSnap actually post to my accounting system?
A receipt becomes a draft Spend Money or Bill entry (for Xero) or Purchase / Bill (for QuickBooks), pre-populated with the vendor, date, amount, expense account, tax, and a link to the receipt image. You review and approve before anything is saved to your books.
Subscriptions & billing
How are subscriptions managed?
Subscriptions are purchased through the App Store via StoreKit and billed to your Apple ID. To view, upgrade, downgrade, or cancel, open Settings → Subscription inside the app, or go to iOS Settings → [your name] → Subscriptions.
Will my data disappear if I cancel?
No. Your local receipts and connection settings remain on the device. You'll simply return to the free tier's limits for new scans. Existing scans already submitted to Xero or QuickBooks stay in those systems.
How do I request a refund?
Subscription refunds are handled by Apple. Visit reportaproblem.apple.com and select the VictorsSnap charge. If you have a billing question outside of Apple's process, email sean@remoteangel.com.
